1. Nature of ferry booking coordination

BTB provides ferry booking coordination and related operational support for selected ferry routes.

BTB may assist with:

  • reviewing ferry booking requests;
  • checking vehicle, cargo and route details;
  • checking required documents;
  • communicating booking information to the relevant ferry operator or operational parties;
  • coordinating booking-related steps;
  • providing booking-related instructions or status updates;
  • issuing invoices, payment requests or payment links where applicable;
  • supporting the Client with operational communication before departure.

BTB does not operate ferries and does not act as the ferry carrier, port operator or terminal operator.

BTB provides coordination and documentation support where applicable, but the final booking acceptance, sailing, boarding and transport remain subject to the ferry operator and relevant port / terminal procedures.

2. Booking request is not a confirmed booking

A ferry booking request submitted through the website, app, email, phone, messaging application or other communication channel is only a request for booking coordination.

Submitting a request does not automatically create a confirmed ferry booking.

A booking is considered confirmed only after BTB or the relevant ferry operator confirms acceptance according to the applicable procedure.

The Client understands that ferry space, schedule, route, acceptance, cut-off times and operational requirements may change depending on the ferry operator, port conditions, documents, cargo type, vehicle type and other operational factors.

3. Case-by-case review of each request

Each ferry booking request is reviewed case by case.

BTB may review, among other things:

  • route requested;
  • departure and arrival ports;
  • requested sailing or travel period;
  • vehicle type;
  • vehicle and trailer registration numbers;
  • vehicle dimensions;
  • cargo type;
  • cargo weight;
  • cargo description;
  • dangerous goods / ADR status, if any;
  • driver details;
  • transport documents;
  • customs or transit documents;
  • payment status;
  • ferry operator requirements;
  • port and terminal requirements;
  • space availability;
  • operational restrictions.

BTB may request additional documents, details or confirmations before proceeding with booking coordination.

If the Client does not provide required information or documents on time, BTB may be unable to process or confirm the booking request.

4. Required information and documents

Depending on the ferry route and cargo, the Client may be required to provide:

  • company details;
  • contact person details;
  • vehicle and trailer registration certificates;
  • vehicle and trailer plate numbers;
  • vehicle dimensions;
  • vehicle weight and cargo weight;
  • cargo description;
  • CMR;
  • commercial invoice;
  • packing list;
  • customs or transit documents;
  • driver passport or ID details, where required;
  • driver contact details;
  • container number, where applicable;
  • seal number, where applicable;
  • dangerous goods / ADR documents, where applicable;
  • permits, certificates or other documents required by the ferry operator, port, terminal, customs authority or competent authority.

The Client is responsible for the accuracy, completeness, legality and authenticity of all documents and information provided to BTB.

Incorrect, incomplete, inconsistent, misleading or late information may lead to delay, refusal, cancellation, additional costs, missed sailing, storage, demurrage, detention or other operational consequences.

5. Vehicle dimensions, cargo details and special cargo

The Client must provide accurate vehicle dimensions, cargo dimensions, weight, cargo type and any special cargo details.

This is especially important for:

  • oversized cargo;
  • heavy cargo;
  • abnormal cargo;
  • dangerous goods / ADR cargo;
  • refrigerated cargo;
  • containerized cargo;
  • vehicles requiring special handling;
  • cargo requiring inspection or special approval.

BTB may rely on the dimensions, weights and cargo information provided by the Client.

If the Client provides incorrect or incomplete information, the ferry operator, port, terminal or other relevant party may refuse acceptance, require correction, charge additional fees or delay the booking.

BTB is not responsible for consequences caused by incorrect, incomplete or late vehicle, cargo or document information provided by the Client.

6. Dangerous goods / ADR cargo

If the cargo includes dangerous goods, ADR goods, restricted cargo or any cargo requiring special declaration, permits or handling, the Client must clearly inform BTB before booking coordination starts.

The Client must provide all required dangerous goods documents, declarations, safety data sheets, classifications, permits and other documents required by the ferry operator, port, terminal, carrier or competent authority.

Dangerous goods / ADR cargo may be subject to additional review, restrictions, refusal, special pricing, specific sailings or additional requirements.

BTB does not guarantee acceptance of dangerous goods / ADR cargo.

Final acceptance depends on the ferry operator, port, terminal, competent authorities and applicable regulations.

7. Ferry schedules and availability

Ferry schedules, space availability, sailing dates, departure times, arrival times and operational windows are controlled by the ferry operator and relevant operational parties.

Any schedule, sailing date, availability information or estimated time communicated by BTB is provided for coordination purposes and may change.

BTB does not guarantee:

  • sailing schedules;
  • vessel availability;
  • ferry space;
  • departure time;
  • arrival time;
  • route availability;
  • boarding time;
  • loading time;
  • port entry time;
  • completion within a specific time.

To check current ferry options, the Client must submit a booking request and provide the required vehicle, cargo and document details.

8. Booking confirmation

A booking may be considered confirmed only after BTB or the relevant ferry operator confirms acceptance according to the applicable procedure.

A payment, payment request, invoice, proforma invoice or booking request does not by itself guarantee ferry acceptance or confirmed space, unless confirmation is expressly provided.

Booking confirmation may depend on:

  • ferry operator acceptance;
  • space availability;
  • cargo and vehicle acceptance;
  • document completeness;
  • payment confirmation;
  • port or terminal requirements;
  • customs or authority requirements;
  • operational restrictions;
  • route conditions.

BTB may provide booking-related information, instructions or confirmations through digital communication channels, including email, website forms, app flows, messaging applications, SMS, phone communication, document-sharing links or other channels used with the Client.

9. Payments for ferry booking services

BTB may issue invoices, proforma invoices, payment requests or payment links for ferry booking coordination, ferry-related services or amounts payable in connection with a ferry booking request.

Payments may be made by bank transfer or, where available, by online card payment through NETOPIA Payments.

Online card payments are processed through NETOPIA Payments. BTB does not store card details.

Payment confirmation may depend on NETOPIA Payments, banks, card issuers, payment systems or bank transfer processing times.

Payment for a ferry booking request or ferry-related service does not guarantee ferry acceptance, space availability, sailing, boarding, loading or final booking confirmation unless such confirmation is expressly provided according to the applicable procedure.

10. Third-party ferry, port and terminal costs

Ferry booking requests may involve third-party costs, including but not limited to:

  • ferry operator charges;
  • port charges;
  • terminal charges;
  • handling charges;
  • storage charges;
  • demurrage or detention;
  • customs-related charges;
  • inspection charges;
  • document processing charges;
  • bank fees;
  • payment processor fees;
  • other operator, agent or authority charges.

Third-party costs may be charged separately unless they are expressly included in BTB’s confirmed offer or invoice.

Third-party charges may change depending on ferry operator rules, port / terminal procedures, cargo details, vehicle type, route, timing and operational circumstances.

BTB is not responsible for changes in third-party charges unless BTB expressly agreed in writing to cover such changes.

11. Arrival, cut-off times and operational instructions

The Client must follow arrival instructions, cut-off times, port entry requirements, terminal procedures and operational instructions communicated by BTB, the ferry operator, port, terminal, carrier or other relevant party.

The Client is responsible for ensuring that the vehicle, driver, cargo and documents are ready and available on time.

Late arrival, missing documents, incorrect vehicle details, unpaid amounts, customs issues, inspection issues or failure to follow operational instructions may lead to refusal, delay, missed sailing, additional costs or cancellation.

BTB is not responsible for missed sailings or additional costs caused by late arrival, missing documents, incorrect information, driver unavailability, cargo status, customs issues, port / terminal rules or third-party decisions.

12. Port, terminal, customs and inspection requirements

Ferry transport may require compliance with port, terminal, customs, border, veterinary, phytosanitary, inspection or other competent authority requirements.

The Client is responsible for providing all required documents and for ensuring that the cargo, vehicle, driver and transport operation comply with applicable requirements.

BTB may provide documentation and coordination support where applicable, but BTB does not control ports, terminals, customs authorities, inspection bodies, ferry operators, competent authorities or official decisions.

Any refusal, delay, inspection, additional document request, correction requirement or operational restriction imposed by a third party is outside BTB’s control.

13. Changes to booking requests

Any change requested by the Client after booking coordination has started may require additional review, additional costs or operator approval.

Changes may include:

  • route change;
  • sailing date change;
  • vehicle change;
  • trailer change;
  • driver change;
  • cargo change;
  • document correction;
  • weight or dimension correction;
  • dangerous goods / ADR status update;
  • cancellation or rebooking request.

BTB does not guarantee that requested changes will be accepted by the ferry operator, port, terminal or other relevant party.

BTB may charge additional fees for changes, corrections, amendments or repeated coordination caused by incorrect, incomplete, late or changed information provided by the Client.

14. Cancellations and no-show

Ferry booking cancellations are reviewed case by case.

Cancellation may depend on:

  • ferry operator rules;
  • booking status;
  • route;
  • sailing date;
  • timing of the cancellation request;
  • payment status;
  • documents already submitted;
  • third-party costs already incurred;
  • non-refundable charges;
  • port or terminal procedures.

If the Client, vehicle or driver does not arrive on time, does not follow instructions, does not provide required documents or is refused by a third party, this may be treated as a no-show or operational failure depending on the applicable operator rules.

No-show situations may result in loss of booking, non-refundable charges, additional costs or the need to submit a new booking request.

Any refund, partial refund or refusal of refund will be reviewed according to the Returns & Refunds Policy, Cancellation Policy, operator rules, service status and applicable law.

15. Delays, refusals and operational disruption

Ferry operations may be affected by delays, refusals or disruptions caused by:

  • weather conditions;
  • vessel availability;
  • ferry operator decisions;
  • port congestion;
  • terminal procedures;
  • customs checks;
  • border checks;
  • inspections;
  • cargo status;
  • route conditions;
  • strikes or labor disruptions;
  • force majeure;
  • technical issues;
  • authority requirements;
  • missing or incorrect documents;
  • late arrival;
  • payment delays;
  • other circumstances outside BTB’s control.

BTB is not responsible for delays, refusals, missed sailings, schedule changes, cargo refusal, operational disruption or additional costs caused by third parties or circumstances outside BTB’s control.

16. Service completion

BTB’s ferry booking coordination service may be considered completed when BTB has performed the agreed coordination activity or the relevant part of it.

Depending on the service, completion may occur when:

  • BTB reviews the booking request;
  • BTB checks or structures vehicle, cargo or document information;
  • BTB communicates with the ferry operator or relevant parties;
  • BTB forwards booking information;
  • BTB provides booking-related instructions or status updates;
  • BTB issues or forwards a booking confirmation received through the applicable process;
  • BTB completes the agreed documentation, coordination or operational support.

The service may be considered completed even if the ferry operator, port, terminal, customs authority or other third party later changes, delays, refuses or cancels the operational process.

17. Limitation of BTB responsibility

BTB provides ferry booking coordination, documentation support and operational assistance where applicable.

BTB is not liable for losses caused by:

  • incorrect, incomplete or late information provided by the Client;
  • late arrival of the vehicle or driver;
  • missing documents;
  • ferry operator refusal;
  • lack of ferry space;
  • schedule change;
  • port or terminal refusal;
  • customs or authority decisions;
  • inspection results;
  • cargo refusal;
  • dangerous goods / ADR restrictions;
  • weather conditions;
  • strikes;
  • force majeure;
  • bank or payment processor issues;
  • third-party delays or decisions;
  • circumstances outside BTB’s control.

Payment for BTB services and submission of a booking request do not guarantee ferry acceptance, ferry space, departure, arrival, loading, boarding or completion within a specific time.

18. Communication and delivery

BTB may communicate booking-related information, documents, references, confirmations, instructions, payment requests and status updates through digital communication channels.

These channels may include:
